Job Description

Role Overview

AISA is seeking a highly organized, discreet, and proactive
Office Assistant

to support
HR, Finance, Operations

, and student supervision. This role requires a
valid driver's license

and comfort running official errands (banks, government offices, suppliers). You will be a key member of the admin team helping ensure smooth daily operations and excellent service to our students, staff, and families.

Primary Responsibilities

  1. HR Administration

  2. Prepare, collect, and track HR documents (contracts, CNAS/CASNOS, leave forms, onboarding files).

  3. Maintain secure personnel records and staff attendance logs.
  4. Support recruitment logistics (posting, scheduling, reference checks as directed).

  5. Finance Support

  6. Assist with invoice collection, receipt tracking, petty cash logs, reimbursement packets.

  7. Prepare organized documentation for payments and audits; support monthly closures.
  8. Conduct bank errands and submit/collect official paperwork as assigned.

  9. Operations & Logistics

  10. Coordinate office supplies, inventory, and vendor follow-ups.

  11. Support campus and housing logistics alongside Facilities (deliveries, keys, checklists).
  12. Draft simple memos, translate short items (AR/FR/EN), and maintain filing systems.

  13. Student Supervision & Front-of-House

  14. Support arrival/dismissal flow, recess, and event supervision as scheduled.

  15. Provide courteous reception cover (phone, gate lists, visitor badges) when needed.

  16. Driving & Errands

  17. Safely drive for school business: banks, ministries, suppliers, mail, airport pick-ups (occasionally).

  18. Maintain vehicle cleanliness, fuel, basic logs; arrange servicing as scheduled.

  • Flexible, solution-oriented, and able to manage multiple priorities.
  • Enjoys school environments and interacting with children and families.

Qualifications

  • Experience in
    office administration

(HR/Finance/Operations) preferred.
- Valid driver's license

with a safe driving record
required

.
- Strong
Arabic and/or French required

;
English preferred

.
- Proficiency with Google Workspace/MS Office; comfort with scanners/printers.
- Familiarity with CNAS/CASNOS, vendor invoices, receipts, and bank paperwork a plus.

Work Conditions

  • Full-time, on-site in Ben Aknoun, Algiers.
  • Salary: Competitive, commensurate with experience.
