Position Overview

Altis Training Center is Algeria's emerging hub for professional and vocational training. We work with companies and institutions to deliver customized workforce programs and offer STEAM, TESOL, and UDL courses for individual professionals.

To support daily operations and ensure smooth administrative coordination, we are seeking a reliable
Administrative Assistant
. This role provides comprehensive administrative and organizational support to the CEO and internal teams. The Administrative Assistant manages schedules, supports internal processes and communications, coordinates meetings and events, and assists with program documentation and proposals. The ideal candidate is organized, detail-oriented, and comfortable managing multiple tasks in a professional training environment.

Key Responsibilities

1. Administrative Support to Leadership

· Provide day-to-day administrative support to the CEO by helping track priorities and ensuring tasks and follow-ups are completed in a timely manner.

· Support internal coordination by maintaining organized processes and assisting with communication between internal and external stakeholders.

·  Manage calendars, meetings, agendas, email and phone communications, and client appointments.

· Coordinate with staff, partners, and clients to support ongoing activities and ensure schedules run smoothly.

·  Assist in preparing summaries, basic reports, and presentations as requested.

2. Office Operations & Workflow Support

· Maintain and update internal administrative processes such as filing systems, document management, approvals, and reporting procedures.

·  Support coordination of internal and external resources to help workflows move efficiently.

· Track deadlines, action items, and follow-ups to support the timely execution of tasks.

·  Assist in organizing requests and priorities to ensure leadership time is used effectively.

·  Provide administrative support to ongoing projects such as training programs and corporate partnerships.

3. Communication & Coordination

· Draft, format, review, and proofread correspondence, memos, basic proposals, and presentations.

· Support internal communication by organizing meetings, workshops, and events.

· Prepare agendas, take meeting notes, and follow up on action items.

· Provide general office support, including spreadsheet preparation, maintaining contact lists, and organizing administrative records.

4. Program & Proposal Support

· Assist program coordinators and managers with administrative tasks related to program catalogues and customized training proposals.

· Coordinate with internal teams (training managers, program coordinators, and finance) to ensure information is accurate, properly documented, and shared on time.

· Track proposal timelines, feedback, and outcomes to support record keeping and future planning.

5. Travel, Events & General Administration

· Support travel arrangements by assisting with accommodation, transportation, and itineraries as needed.

· Help organize internal and external meetings, trainings, and events by coordinating logistics and documentation.

· Provide general administrative support, including reporting, record keeping, procurement of supplies, and basic office coordination.

6. Technology & Administrative Systems

· Use office productivity tools such as Google Workspace and Microsoft Office to manage documents, schedules, and administrative tasks.

· Support simple tracking systems for deadlines, tasks, and documentation.

· Assist with adopting basic tools or systems that improve efficiency and organization.

· Support the use of technology to streamline routine administrative work.

Required Qualifications & Skills

Education & Experience

  • Bachelor's degree in administration, management, communications, or a related field
  • 3–5 years of experience in an administrative or support role, preferably reporting to senior staff
  • Experience in education, training, or professional services is an advantage

  • Strong written and verbal communication skills
  • Good organizational and time-management abilities
  • Ability to manage multiple administrative tasks simultaneously
  • Proficiency in Google Workspace and/or Microsoft Office
