Executive Assistant
. This position provides high-level administrative support. The Executive Assistant manages schedules, internal processes and communications, coordinates projects and events, and supports program development and proposals. The ideal candidate is proactive, organized, and tech-savvy, with the ability to contribute to the strategic priorities of the centre.
Key Responsibilities
1. Executive & Strategic Support
- Provide direct support to the CEO by ensuring executive priorities align with and advance organizational goals. Maintain and continuously improve internal processes, and coordinate internal and external stakeholders to streamline workflows and ensure timely execution.
- Manage scheduling, including calendars, agendas, meetings, email and phone communications, and client appointments.
- Coordinate with partners, staff, and clients to keep projects moving.
- Plan work to ensure that leadership priorities are met and organizational goals are achieved. Provide summaries, reports, and presentations as required.
2. Operations & Workflow Management
- Maintain and refine internal processes (filing, document management, approvals and reporting) that support the organziation. Coordinate internal and external resources to streamline workflows.
- Track decisions, deadlines, and follow-up items to ensure execution. Ensure leadership time is utilized efficiently by screening requests and prioritizing activities.
- Monitor and support projects (e.g., training program launches, corporate partnerships) to ensure timely completion and alignment with strategic goals.
3. Communication & Coordination
- Draft, review, and proofread correspondence, memos, proposals, and presentations.
- Organize team communications and plan internal and external events, meetings, and workshops. Take meeting minutes, prepare agendas, and follow up on action items.
- Provide administrative and office support, such as spreadsheet creation and maintenance of contact databases.
4. Program & Proposal Support
- Assist program coordinators and managers in drafting program catalogues and customized training proposals based on corporate client needs.
- Coordinate with internal teams (training managers, program coordinators, and finance) to ensure program information is accurate, aligns with client requirements, and is delivered on schedule.
- Track proposal timelines, feedback, and outcomes to refine future offerings.
5. Travel, Events & Administrative Support
- Coordinate complex travel arrangements, including accommodations, transportation, and itineraries.
- Plan and organize internal and off-site events, conferences, and client meetings, ensuring logistical details are managed smoothly.
- Provide general administrative support such as reporting, record keeping, and procurement of supplies and equipment.
6. Technology & Systems
- Use office productivity software (e.g., Google Workspace, Microsoft Office) and communication tools to manage tasks, documents, and schedules.
- Develop simple systems or leverage existing technology to automate routine workflows, manage deadlines, and monitor key metrics.
- Stay abreast of technology that enhances efficiency and supports the integration of new tools when necessary.
Required Qualifications & Skills
Education & Experience:
Bachelor's degree in administration, management, communications, or a related field.
- At least
3–5 years
of experience in an administrative or executive support role, reporting directly to senior leadership. Experience in education, training, or professional services environments is an advantage.
Core Skills:
Excellent written and verbal communication skills and the ability to liaise professionally with clients and internal teams.
- Strong time‑management and organizational skills with the capacity to coordinate multiple projects concurrently.
- High level of discretion when handling sensitive information.
- Proficiency with office productivity tools (Google Workspace/Microsoft Office) and the aptitude to learn new systems quickly.
- Attention to detail and the ability to produce accurate reports, documents, and proposals.
